Manager, Fulfillment Operations
How you’ll have an impact at Paula’s Choice:
You’ll be the process owner for North American and Australian 3PL fulfillment operations. Responsible for performance of multiple warehouse vendors execution of day to day, mission critical, operations across multiple sites, channels and business units. Own short to medium range operations forecasting and planning, small to medium size project management. You’ll also ensure vendor performance to SLA’s, inventory control, timeline, and budget targets. This visible role in the supply chain partners with multiple departments, business units, subsidiaries, and represents the supply chain department as a 3PL fulfillment operations subject matter expert for various initiatives and projects. Some travel is required as you’ll be expected to visit each distribution site between 1 to 4 times per year.

As a Manager, Fulfillment Operations a typical day might include a mix of the following:
Vendor Management:
Single point of contact for fulfillment: You are the key escalation point between internal teams and our warehousing vendors, owning the day-to-day performance of warehouse vendors. You coordinate with cross functional teams to set expectations and priorities, as well as manage exceptions to resolution with warehouse vendors.
Lead status meetings and reporting: Conduct and prepare for daily and weekly vendor calls to review fulfillment operations schedules, status, align and re-prioritize workload to meet demand. Proactively identify, resolve and or escalate issues to ensure fulfilment operations are running smoothly.
Vendor Site Visits: Requires travel to multiple vendor locations at least 2 to 4 times per year, per site, for in-person business reviews, critical operations oversight, and exception management. Must be available to support annual inventories and lead peak season operations during Q4. Travel constitutes less than 15% of annual work time.
Operational oversight:
Production capacity planning and management: Lead peak season planning, align forecasts, labor and capacity plans with vendors for ongoing and peak seasons. Track promotional work and lock forecasts between planning and vendors. Anticipate production bottlenecks and own resolving resource conflicts.
KPI and Metrics Reporting: Calculate and generate reports on order accuracy, Amazon production levels, receiving accuracy, and speed for Vendor. Track, monitor, and report on Key Performance Indicators, and publish Vendor Performance Scorecards.
Budget development and planning: Assist in the development of and adherence to annual operational budgets, monthly re-forecasts and scenario modeling for the fulfillment network.
PO and invoice management: Place and manage Vendor PO’s, review and audit vendor invoices for accuracy. Track actuals to budget and support billing discrepancy resolution.
Process Improvement: Leverage your warehouse operations experience to recognize opportunities for improvement in cost and/or quality of services provided, and spearhead implementation.
Process, Inventory and transaction control:
Vendor onboarding a process compliance: lead development of vendor SOP’s, confirm alignment to Paula’s Choice policies, controls, and procedures. Assist in vendor onboarding and development of processes for new and changing capabilities, programs, vendors and channels.
OS&D Review: Review OS&D (Over, Short, and Damaged) reports, perform root cause analysis (RCA), recommend and ensure corrective actions are carried out.
Received in Full Program: Review shipment logs from 3PL vendors and communicate with receivers regarding the received in full status. Track and log variances to identify patterns and opportunities to resolve issues.
Inventory Comparison: Perform periodic reviews of inventory between locations and coordinate with inventory teams and vendors.
Support cycle Counts: Review and assign inventory items for cycle counting, ensuring a minimum of three counts per year.
Inventory Sync: Meet with the inventory team to review OS&D reports, inventory discrepancies, and cycle count results for each 3PL vendor.
Collaboration: Collaborate with channel owners, transportation, and inventory teams to strengthen our supply chain.
Additional Responsibilities: Other responsibilities as assigned by your manager.
The Details:
Location: Remote within the US
Hours: This role will require some flexibility outside of typical business hours
Physical requirements: Must be able to both sit & handle screen time for long periods, as well as significant amount of walking that may be needed when visiting DCs.
Travel requirements: <15% - Minimum 1x/ Quarter, majority in Q4
Minimum Qualifications:
3+ years as a product owner managing vendors in fulfillment, logistics, production or sourcing.
Background in logistics, supply chain, vendor management, business administration, or related field.
Strong analytical and problem-solving skills.
Excellent communication and interpersonal skills.
Ability to work independently and manage multiple tasks simultaneously.
Detail-oriented with a focus on accuracy and efficiency.
Preferred Qualifications
Experience managing operations in multiple locations simultaneously
Agile, Lean, Six Sigma or project management training and certification or experience
5+ years as a product owner directly managing 3PL warehouse vendors
7+ years working with ERP and WMS systems in a fulfillment capacity
5+ years working with EDI transactions
Warehouse / 3PL or Logistics vendor qualification and management
Prior experience working remotely as a self-starter
Approximate Salary Range Based on Experience and Location:
$90,000- $110,000 USD/annually
