IT Service Coordinator

Job Summary:
The IT Service Partner will actively support the VP, ERP & IT Corp in developing, implementing, and managing various tasks and projects including: administrative support, coordinate schedules, travel arrangements, events, financial reports, timesheet tracking, budgets, and manage vendors as assigned. This role will handle internal funding for technology projects by overseeing program budgeting, allocation, monitoring, accounting classification and reporting. The ideal candidate should be a seasoned accounting expert experienced in software license classification, OPEX/CAPEX classification scenarios, and adept at working collaboratively with IT, FI, and Finance planning and analysis (FP&A) teams. This position is essential to ensure accurate financial reporting and effective cost management for strategic IT programs, as well as providing strategic financial insights that align IT investments with overall business goals. Successful candidates will clarify and remediate open items pertaining to projects and programs for accounting and FP&A teams.
Job Expectations:
● Communicate effectively with others at all levels within the organization
● Provide assistance, support and manage the day-to-day tasks on current projects, as well as facilitating the launch of new projects
● Assist other technology leaders with various high-level projects including but not limited to Audit prep, surveys and reporting, and special projects as assigned by the technology leaders
● Manage vendor relationships when assigned.
● Assist in planning and facilitating various department events
● Arrange international and domestic travel as required
● Manage monthly revolving account statements
● Manage daily executive project tasks, anticipate project and/or budget risks, and keep all project documentation updated
● Brief senior management on task completion and any assigned project and or budget-related issues
● Maintain a high level of confidentiality and diplomacy, working with all levels of employees from staff members to executives
● Prepare funding proposals, business cases and financial forecasts to support project funding efforts, leveraging knowledge from SAP and similar ERP cloud implementations.
● Conduct financial analysis and provide insights to support decision-making related to technology project funding, including cost-benefit analysis, return on investment (ROI) calculations, and financial modeling.
● Maintain accurate records of internal funding allocations, asset accounting, IT budget and expenditures, ensuring compliance with internal financial policies, timesheet management procedure, and accounting practices (CapEx and Opex Expenditure)
● Collaborate with finance and accounting teams to ensure compliance with internal controls, financial regulations, vendor invoice mgmt and company policies regarding project funding and accounting practices.
● Provide strategic advisory on opportunities to optimize budgets and cost structures.
● Monitor project budgets and expenditure during project execution, escalating any discrepancies to IT leadership team
● Identify key metrics and performance indicators with cross-functional teams to assess the impact of technology projects
● Prepare monthly, quarterly, and annual financial reports on project funding activities (as required), including budget vs. actual performance, forecasting, and variance analysis.
● As required, present funding proposals to senior management and stakeholders, highlighting the strategic importance of each project and its alignment with company objectives.
● Oversee the IT department’s budget process, managing and optimizing capital and operational expenditure (CAPEX & OPEX)
● Provide oversight for IT project budgeting. Tracking and allocation of expenses to ensure adherence to approved budgets
● Help SAP Vice President and key leaders in the team on scheduling executive meetings, appointments, and travel arrangements and claim reimbursements etc when requested.
● Coordinate Team events, conferences, and team onsite/offsites as necessary.

Knowledge, Skills and Abilities:
Required:

● Candidate should have accounting and FI background
● A creative problem solver with superb time management skills
● Excellent written and verbal communication skills; ability to present ideas, instruction and information in a positive and professional manner across all levels

● Familiarity with relevant financial modeling, accounting principles, and compliance requirements, particularly as it relates to SAP ERP and similar technology implementations.
● Excellence communication and interpersonal skills, with the ability to collaborate effectively with internal Finance and Accounting teams, technical architects, project managers and iHerb’s broader IT team
Experience Requirements:
Generally requires a minimum of five (5) to eight (8) years of experience in an administrative function supporting upper management and executive level personnel.
Education Requirements:
Bachelor degree is desired, preferably in Accounting & Finance
Judgment/Reasoning Ability:
Able to identify, troubleshoot and resolve problems quickly using sound judgment, poise and diplomacy. Ability to use judgment and reasoning skills, and determine when to escalate issues, as required, in a timely manner.
