About the role:
We are seeking an Executive Operations Manager to be the right hand of our CEO and help with managing strategic projects.
What you’ll do:
Project Management & Coordination
Manage and coordinate cross-functional projects aligning them with organizational goals. Oversee projects’ timelines, meet deadlines, proactively identify challenges, and communicate solutions to the CEO. Ensure strong accountability and prioritize tasks based on importance.
Lead individual projects directly from the CEO and support the development of company policies to optimize key business processes.
Auditing & Review
Audit, review, and monitor operations throughout the company, identifying areas for improvement. Provide proactive recommendations for efficiency.
Lead analytical projects focused on operational effectiveness, including KPI tracking and reporting optimization.
Executive Support
Assist in scheduling events and meetings, preparing agendas, documenting meeting notes, and following up.
Support communication and collaboration across teams to streamline cross-functional alignment and productivity.
Work closely with the CEO as his “right hand” to anticipate needs and proactively manage high-priority tasks and initiatives.
Research & Analysis
Research new topics, companies, or contacts to support decision-making and meeting preparation.
Lead operational efficiency projects to improve reporting structures and team interactions.
Examples of projects you will be involved in:
Planning: Oversee organizational planning processes, including setting timelines, and deliverables, and controlling outcomes. Support the budgeting process, quarterly reviews, and annual planning to maintain alignment with strategic goals.
OKR Framework: Manage the OKR framework across the company, including goal retrospectives, alignment across General Managers, and clear company-wide presentations.
Slack Playbook: Develop and maintain a comprehensive Slack playbook for effective internal communication.
Reporting Structure: Design and organize reporting structures for partners to ensure clarity and consistency.
Our Ideal Profile:
Background: 4-6 years in management consulting and/or business operations within tech, business consulting, or financial sectors. Proven track record of working in cross-functional teams and fast-paced environments.
Business Acumen: We value individuals who excel in their tasks while understanding the broader business context. Your ability to align your work with our business goals will be crucial for success in this role.
Analytical Mindset: Strong analytical skills are needed to interpret data, draw insights, and make informed decisions. You should be able to analyze trends and metrics to support strategic initiatives.
Organizational skills: Strong self-organization and project management skills are essential. You should be able to prioritize tasks and manage projects effectively.
Initiative: We’re seeking a proactive self-starter who can take the initiative, is keen for improvements, and easily navigates challenges.
Presentation skills: You should have a keen eye for detail. You'll ensure the quality of presentations, creating visually appealing slides and effectively communicating key messages.
Research: Smart research abilities are important. You should be able to find information efficiently and understand its quality. Relying solely on ‘googling’ is insufficient.
Tech-Savvy: Comfort with IT environment, tools like Google Workspace (especially Google Sheets and Slides) and ChatGPT (AI prompts and use) are essential.
Language skills: Your English skills must be flawless.
