ABOUT THE JOB (JOB BRIEF)

Primary responsibility is to provide executive administrative support to Head of Payments Business Development Specialty Teams and associated team members, including foreign exchange, payments technology vertical and financial institutions.

The person in this role will be part of a highly collaborative and growing team covering multiple businesses within the payments vertical. The role requires the performance of diversified set of administrative and support duties.

Often exposed to sensitive or confidential information, the Executive Assistant is a critical member of the team in charge of management of day-to-day administrative operations, calendars and scheduling, event planning, creation and delivery of communications both internal and external, trade floor support, preparation and distribution of reports.


ESSENTIAL JOB FUNCTIONS

  • Provides administrative support to the leader and team including scheduling, calendar management, travel arrangements, and coordination of meetings
  • Acts as a professional liaison by facilitating information flow using clear communication.
  • This includes answering and directing of phone calls, composition of correspondence, managing email and other forms of communication.
  • Prepares confidential and sensitive documentation and correspondence which may be distributed to various internal and external stakeholders.
  • Assists with the preparation of presentations and reports including sourcing information from various systems and/or databases to craft a cohesive message.
  • Sends reports to appropriate internal and external constituents.
  • Edits and proofreads documents for accuracy.
  • Serves as a liaison to internal and external stakeholders interacting directly with clients and senior internal leaders and their support teams.
  • Performs as the assigned delegate for the managers, for example time and attendance, expense management, on/off- boarding, processing invoices and billing and other systems and processes.
  • Coordinates events for both internal and external stakeholders, such as client events, seminars, community activities, managing the logistics such as room reservation, set-up, take-down, catering, copying and collating of presentation materials and mailing of CTP/CCM credits to attendees.
  • Assists with special bank programs and initiatives, for example United Way, Neighbors Make the Difference and Harvest for Hunger.
  • Proactively anticipates needs and issues.
  • Recommends and takes action to resolve challenges. Is resourceful in seeking solutions. Sends reminders as appropriate.
  • Is proficient with bank systems and Word, Excel, Outlook, Teams.
  • Manages the filing, scanning and storage of documents
  • Takes responsibility for management of shared administrative tasks as needed, such as trade floor maintenance, ordering and management of supplies and other tasks
  • Performs other duties and responsibilities as assigned.


REQUIRED QUALIFICATIONS

  • Bachelor's Degree or similar work experience with 3 or more years of administrative assistant, banking or cash management experience
  • Demonstrated success in a customer service environment
  • Possess strong critical thinking ability
  • Excellent verbal and written communication skills.
  • Self-motivated and ability to participate effectively in a highly collaborative work team
  • Excellent organizational and time management skills with the ability to set priorities and handle difficult situations while maintaining strong personal relationships
  • Demonstrated ability to proactively solve problems and follow through, leveraging a positive attitude and detail-oriented approach to work.
  • Comfortable wearing multiple hats and handling a wide variety of tasks in a collaborative environment.
  • Proficient knowledge of Microsoft Office Programs including Word, Excel, Outlook, Teams
  • Demonstrates ability to actively engage management and others with innovative ideas to enhance team's overall performance.
