Senior Payment Coordinator

ClinChoice is searching for a Senior Payment Coordinator to join one of our partner companies, a large pharmaceutical company in USA. This is a permanent, remote role.

As a client-facing role, we are looking for confident candidates with the ability to work independently whilst establishing a high-trust environment with the client counter-parts.
Main Job Tasks and Responsibilities:
Review all executed contracts and accurately set-up the payees and budget schedule as governed by the signed contract.
Initiate site/vendor or consultant payments according to sponsor’s policies and guidelines.
Process site payments related to visits completed, milestones completed and reimbursement for pass through expenses.
Route and track payments for approval in a timely manner.
Answer queries from internal and external customers regarding payments and budgets.
Maintain information in the appropriate contact databases or other tools.
Organize, store, archive, and retrieve sponsor’s contracts, payment documentation and other relevant documents.
Coordinate records management practices and records management policy in collaboration with the appropriate sponsor’s record management groups.
Ensure consistency in processing of sponsor’s contracts by conducting training and mentoring activities with business partners.
Develop and maintain data summary reports and related payment reconciliation reports.
Assist in data gathering and analysis.
Assist with finance accounting close and quarterly forecasting reporting requirements.
Track sponsor’s contacts, amendments, and other relevant documents.
Perform other duties as required.
Oversight of invoice processing activities performed by Payment Coordinators to ensure timely and accurate payments as required.
Management and oversight of people. Including, but not limited to administrative approvals, Evaluation for employee’s annual performance through Sponsor’s feedback, interviewing new candidates, on-boarding and development of career path and goals.
Education and Experience:
High School degree required, Bachelor’s degree preferred.
Strong interpersonal skills.
Excellent written and oral communication skills.
Demonstrated leadership qualities.
Payment processing expertise.
Demonstrated effectiveness working independently, collaboratively with peers and in cross-functional teams.
Knowledge of Microsoft Office applications especially Excel.
Excellent organizational and analytical skills.
Ability to handle multiple priorities within matrix environment.
Works and meets deadlines with minimal supervision.
